Scope of Duties

  • Answer and direct incoming phone calls
  • Communicate with callers in a professional, friendly & helpful manner
  • Create and oversee system for backup phone / reception support
  • Greet and direct office visitors
  • Maintain all office common areas in a neat, cleanly condition
  • Coordinate office supply orders
  • Daily distribution of incoming mail
  • Serve as primary point of contact with Building Management
  • Track and order coffee & kitchen supplies
  • Coordinate quarterly employee appreciation lunches
  • Transfer utility accounts by phone; code utility invoices for payment
  • Provide administrative support to executives as needed
  • Perform other general administrative duties upon request

Required Skills

  • Minimum of 3 years experience in a similar administrative role
  • Excellent communication skills and high level of professionalism
  • Detail oriented; works well in a team setting
  • Ability to prioritize and manage several tasks simultaneously
  • Proficient in Microsoft Office Suite
